Do you make one transaction for each expense from your business bank account in order to identify which expense has been claimed or withdraw the monthly total?
Doesn't matter, but it makes more sense to do one at the end of the month. I used to do two a month when I had higher expenses, and on occasion when I've made a big one-off payment I've reclaimed it straight away.
