As the first point of contact, it is essential to demonstrate professional, approachable, and courteous mannerisms at all times. Visitors often arrive seeking information, or assistance, so creating a positive first impression is crucial.

Key mannerisms include maintaining a friendly and welcoming attitude, greeting visitors politely, and displaying excellent listening skills to fully understand their needs. Clear and professional communication is important, ensuring information is provided accurately and in a way that is easy to understand.

Patience and empathy are also vital, particularly when dealing with individuals who may be upset, frustrated, or unfamiliar with procedures. Remaining calm, respectful, and solution-focused helps build trust and confidence in the service provided.Patience and empathy are also important.

Purpose of the job

To greet citizens politely and efficiently guide people around the Old Council House (OCH), aiding where necessary to enable citizens to access the Registration Service and its facilities.

To assist the Register Office Manager with all aspects of site and facilities management, including staff safety training, facilities and building safety compliance.

To provide high quality administrative support as required to the Register Office.

Key job outcomes/accountabilities

* To be the first point of contact for visitors attending ceremonies or registrations, coordinating to ensure ceremony and appointment schedules are on time.

* To set up ceremony rooms, ensuring a high standard of cleanliness and that the building is a safe and welcoming place.

* To undertake general security duties including being a security presence for OCH events. Open and close the OCH ensuring the building is secure.

* To monitor building condition (internal & external) and report concerns to Building Practice team. Arrange and monitor agreed repairs to ensure that issues are resolved in a timely manner. Assist contractors attending site.

* To maintain planned schedules to ensure all aspects of building safety and regulation compliance.

* To undertake regular Health & Safety checks and fire alarm testing, operate agreed evacuation and emergency procedures in the case of fire, bomb alert or other potential hazards. Act as chief fire warden as required.
